We are a seller too. Every month-end was a small panic.
“Did we send the accountant everything? Which invoices are still missing? Is what is in QuickBooks even what happened?”
Robicon Digital runs three online shops and two eBay accounts. For years the end of every period meant making sure every document reached the accountant so the tax came out right. It often did not, and we paid tax on money we never kept.
So we built the tool we needed, ran it on our own books until the month closed itself, and now build it for other companies.
- Orders cancelled on the site, still valid in QuickBooks. Tax declared on sales that never happened.
- Supplier invoices registered twice. Once from the email, once from the portal.
- Invoices that never arrived. Some suppliers only send order confirmations; without the VAT invoice, no VAT reclaimed.
- Refunds nobody credited. Money went back to the customer, the tax stayed paid.
- Card payments with no document. The accountant could only guess, or leave them out.
- Now: each of these is a check that runs every month, before the pack goes out.
